Privacy policy

This policy explains what information Traduire Document handles, why, and for how long. It takes into account the Quebec Act respecting the protection of personal information in the private sector, as amended by Law 25.
Person in charge
Traduire Document is operated by Samro Studios Inc. (Quebec enterprise number NEQ 1182334574), in Laval, Quebec.

What we receive
- The file you choose, to translate it. It is read in memory on our servers. It is not written to disk and it is not kept after the job.
- Your settings: the translation direction and your glossary, if any. They are used for the current job only.
- Technical data: your IP address is used to limit the number of requests per hour, for files sent, payments, downloads and feedback, and the number of free previews per day (see "What we keep"). We do not write it to our logs. Our host may keep the IP address and time of requests in its own logs to run and protect the service.
- At payment, Stripe sends us a payment reference, the amount, the currency and the payment status. Its answer also holds the email and billing address you gave it: our server does not read them and does not keep them. We never receive your card number.
What we keep
To limit abuse of the free preview, payments, downloads and feedback, we keep a one way, salted fingerprint of your connection address, with a counter. For the free preview, we do the same with the anonymous id your browser gets for this (see "Cookies"). We also count the downloads of each payment. Never the address or the id itself. Each fingerprint expires at the end of the limit window (one day at most) and is then deleted automatically.
So that we never refund twice or deliver a file that was refunded, we also keep Stripe payment references, whether the file was delivered or refunded, and the day's total spent on machine translation. This data is deleted automatically after 400 days. We also keep the number of each message Stripe sends us for 30 days, so that we never handle it twice. Never text or file names.
This data and the feedback described below are kept in a database hosted by Neon in the United States (Virginia). This database never holds your files, their text, their names or your email.
What we do not keep
We keep neither your file, nor its text, nor its translation after the job. Our logs hold only the event type, file size, word and page counts, format, an error code, a status word (for example "paid" or "refunded"), the duration, the Stripe payment reference, the number of calls to the artificial intelligence, the amount of text it processed and the region where it ran. Never text or file names. We ask for no account and no email. We do not ask for your name, except the optional first name of a review (see "Your feedback").
To link the payment to the right file, the page gives you a sealed token, encrypted with a key only our server knows. It holds a fingerprint of the file, the file name, the languages, your glossary, the word count, the price band and the first page translation. Your browser keeps it, not us. It expires after 2 hours.
Translation by artificial intelligence
When translation of your own files is on, an artificial intelligence service processes the text of your document: Anthropic, PBC, a United States company (Claude models). The text is processed in the United States. Under its commercial terms, Anthropic may not use this text to train its models.
Anthropic deletes the text it receives and the translation within 30 days. If its safety systems flag content as breaking its usage rules, Anthropic may keep it up to 2 years. It may also keep data where the law requires it.
What is sent: the text of the passages to translate, your glossary, up to 3 earlier passages with their translation for context, and formatting marks (bold, italic). After payment, a list of terms found in your document by our server is added.
What is replaced before sending: emails, web links, phone numbers, postal codes, dates and times written with digits, amounts, percentages and other numbers. They are replaced by markers, are not sent, and are put back on our server.
Names of people, companies and streets, and any information written in words, are part of the text that is sent. If your document holds sensitive information you do not need translated, remove it before you send the file.
What is never sent: the file itself, its name, its properties (author, company, history), images, your IP address and your payment data.
Before payment, only the first page is sent (first slide, or start of the first sheet). The rest is sent only after you pay.
The text travels encrypted (HTTPS). Anthropic acts as a service provider, under a written contract that includes a data processing addendum. Because the text is processed in the United States, your information is communicated outside Quebec. Before doing so, we completed a privacy impact assessment, as the law requires. In the United States, data may be subject to that country's laws, including access requests from authorities.
For now, translating your own documents is closed. It will open only once the privacy impact assessment is complete and signed. The samples on the site use translations recorded in advance and send nothing to Anthropic.
Payment
Payment happens on the Stripe page. Stripe collects your email to send you the receipt, and your card data. Stripe handles them under its own privacy policy, at stripe.com/en-ca/privacy. We send Stripe the price and its currency, the language of the page, a job fingerprint, the price band, the word count and a marker that says the payment comes from Traduire Document. When the file is delivered, we add a marker that says so. Never text or file names.
On your device
During payment, your browser keeps a copy of your file and of the token on your device (IndexedDB). This lets the page finish the translation when you come back from Stripe. The copy is deleted after the download, or on your next visit if it is more than 24 hours old. It is never sent anywhere except to us, to finish the job.
If you answer the question about your download, or close it, your browser keeps a small mark on your device so that it does not ask you again.
Your feedback
After a paid download, the page may ask you how it went. Answering is optional. If you answer, we keep: your rating, your comment if you wrote one, your first name or initials and your city if you gave them, your answer to "May we show this?" with the time of that answer, the language of the page, the currency paid and the date of the feedback.
The feedback is linked to the payment by an encrypted fingerprint of its Stripe reference, so that one payment gives only one review. We never keep an email, a file or a connection address with a review.
Your comment, first name and city are shown only if you allowed it, and only after we have read them. They then appear in the reviews section of the Traduire Document home page. Every rating counts in the average shown, published or not.
A review is kept until you ask us to remove it. To have it removed, write to confidentialite@samrostudios.com. We then erase the comment, the first name and the city, and the review is no longer shown. Only the rating stays in the average.
Cookies
This site sets one cookie, td_vid. It is an anonymous, random id, used only to limit the number of free previews (see above). It is created when you send your own file and stays on your device for one year. This site sets no cookies for analytics or for advertising. The Stripe payment page may use its own cookies, needed for payment and fraud prevention.
Security
Traffic uses HTTPS. Files stay in memory for the length of the job. Access to the systems is limited to the person in charge.
Your rights
You can ask to access the information we hold about you, to correct or delete it, and to withdraw your consent. Write to confidentialite@samrostudios.com. We answer within 30 days. Since we keep no file and no account, we usually hold only the payment reference, and your feedback if you left some. If you ask, we pass your request on to Anthropic.
If you are not satisfied with our answer, you can file a complaint with the Commission d'accès à l'information du Québec.
Changes
If this policy changes, the date at the top of the page changes too. Important changes will be shown on the home page.
